Reads from Sodium. The only change this page can make is assigning an owner to a job, and only after you confirm.
Self Assessment returns for clients who come to PMA through Taxfix, from first ID check to filing.
Filing deadlines: paper returns 31 October after the tax year ends, online returns 31 January of the following year. Stages move forward from Taxfix's emails (never backwards, and never to Filed). Vision never files anything with HMRC – mark a return Filed only once HMRC has accepted it. Every change is recorded in the audit log.

Dates come from Companies House and are refreshed every night (or when an admin presses Refresh). The companies come from Sodium – every limited company and LLP client, matched on the company number in Sodium – plus any added here. "In portfolio" means the company is in PMA's Inform Direct portfolio, checked through Inform Direct's API. VAT numbers come from Sodium or are typed in here. Nothing is filed from this page, and Vision never changes the Inform Direct portfolio.
Every client's ID checks, PEP and sanctions screening and risk assessment, read by Vision straight from Xama.

Read from Xama every night and when you press Refresh. The clients come from the Xama ids held in Sodium, plus any account Xama's own list returns; each is matched to a Sodium client by that id, then company number, then name. Risk reviews are counted as Low every 24 months, Medium every 12 and High every 6 from the last completed risk assessment – Vision's assumed policy, to be confirmed against PMA's AML policy. Nothing is requested, run or changed in Xama or Sodium from here.
Every client still being onboarded, how far each has got and what's missing. Ticks, answers and notes here are the same ones as on each client's Compliance tab.
Loading the checklist for every client…
Read from Vision's own copies: Sodium jobs and clients (synced), each client's Sodium custom fields, business details, services and HMRC authorisations (read for every client in the background every few hours), Socket proposals, the AML register (Xama, as done or not done only) and the checklist ticks saved in Vision. "?" means Vision couldn't read that item's source for every client at once: open the client to check. Stuck means no checklist change and no change to the client's Sodium onboarding job for 14 days or more. Ticks, answers and notes are saved to the client's own checklist (and its activity log and the Audit Log), exactly as on its Compliance tab; Sodium is only updated after you confirm, by admins, when writing to Sodium is switched on.
Socket's sales pipeline, with Vision's own follow-ups. Deal values are Socket's indicative figures, never a price. Nothing here is sent to a client or lead.
Reading Socket…
Leads, stages, lost reasons, sources and proposals are read live from Socket (cached for 10 minutes; Refresh reads again). Moves, edits, notes and new leads are written to Socket only after you confirm, only by admins and only when writing to Socket is switched on; each one is in the Audit Log. Follow-ups and drafts are kept in Vision; each follow-up is copied to its Socket lead as a note. Proposals are written and sent in Socket.
The yearly fee review for every client with a recurring service in force in Socket. Fees are Socket's indicative figures a month, before VAT, never a price. Nothing here is sent to a client, and nothing is written to Socket.
Reading Socket…
Clients, proposals in force, services and fees are read live from Socket's active recurring services report and its proposals (cached for 10 minutes; Refresh reads again). A review falls due 12 months after the latest proposal in force started (its actual start, else planned start, else the date it was accepted, else when it was made), unless you set a date. When Socket has a draft or sent proposal for the client made after that one, the stage moves to Renewal drafted or Sent to client by itself; once a newer proposal is in force, the review closes as Accepted and the next one starts. Stages, dates, proposed fees, next actions and notes are kept in Vision, and each change is in the Audit Log. Renewal proposals are written and sent in Socket. Socket's API doesn't say which pricing menu a proposal was built on, so there's no "Old price list" flag. Clients are matched to Sodium by company number, then name; where that finds none or the wrong one, link the right Sodium client from the client's review. Sodium's fee is a year of the client's active Sodium services ÷ 12, from the background client read.

What Vision reads from. Everything is read-only unless it says otherwise, and keys never appear here.
Scanned client post. Vision reads each letter, matches it to a client and names it; you check it and file it to the client's Google Drive folder. Client emails are saved as Gmail drafts, never sent.
Scans wait in Vision's private storage only until each letter is filed: once Google Drive confirms the file, Vision deletes its copy, keeping just the log line (client, sender, letter type, date, the one-line summary and the Drive link). "Not client post" is deleted after 30 days. Claude reads the letters; nothing is sent to a client, HMRC or Companies House. Every upload, filing, draft and deletion is in the Audit Log.
Bank statements read, checked and saved against the client, with an Excel workbook and a Xero import CSV to download. Nothing is sent to Xero, Sodium or the client.
Files wait in Vision's private storage only while you work on them: Vision deletes its copy as soon as a statement is saved or removed from the batch, and anything left is deleted after 7 days. Only the sort code and the last 4 digits of an account number are kept. Claude reads the PDFs; passwords are used once and never stored. Every upload, save, edit and deletion is in the Audit Log.

Load a JSON export from the Claude hub into Vision: {"collection": "xero-subs", "rows": [...]}. Rows are matched by id – new ones are added, existing ones updated (briefs and onboarding checklists keep Vision's copy), nothing is deleted. A ch-register file is only compared: its VAT numbers against Vision's register.

Find everything Vision holds that mentions a person or client: search for a name, an email address or a Sodium client code (one at a time). This covers Vision's own copy only. Sodium, Xero, Xama, Granola, Fireflies, Zoom and PMA's other systems are not searched or changed here, so deal with those separately.
Onboarding checklists and Vision's copy of Xama aren't deleted automatically. These clients left more than 5 years ago, so their AML records can be deleted with Data requests above (search for the client code).
